This time of year, it’s a great idea to make sure that you did not accidentally enter slips dated in the future (i.e. December 2012). It is possible when “catching up” in the early part of January, that you may have neglected to enter the year in the slip entry of Timeslips and, in an effort to be helpful, Timeslips has automatically entered the current year for you. Other times the user has a typo in the year. The big problem is that when you generate invoices or reports and have a cut-off date, these entries will never be included until they match the date!

Here is the easiest way to test this:

1) Go to Show Slips (or Slips/Time and Expense Slips from the menu bar)
2) Choose View By “Date”.
3) Make sure that you do not have any other criteria selected (next to Selection it should read ALL, if not, click on the Selection Button and clear out any criteria)
4) Enter TOMORROW’s date in the start date, and leave the end date Blank.

Once you update the list, you should have no slip entries on the screen.

On occasion, we get a call from a client or their network professional (aka IT guy) that they’ve just installed all new hardware and are ready to move the software to the new server NOW.

These are 2nd most dreaded calls that we get (the first most dreaded call being that a client is moving to ebilling). First, it’s not a cut and dried process to move your entire business from one server to the other. Second, we need to ensure that your system has the capacity to handle your current software program and hopefully has some room for growth. Third, we might not be available NOW.

Moving your software to a new server can take time and can result in additional and unexpected expenses and delays. If you have a new operating system and an older software version, it’s possible that you will need to upgrade to a current version in order for your software to work on the new network. (This can usually be done quickly) The data will need to be converted to a new format if you are also upgrading your software version. The software will need to be set up on the workstations, and your settings, preferences and security settings will need to be re established as well. We will need to take time to make sure that the network paths and system folders are set up, so that your data is going to the right place and everyone will have access to the data and the systems. If you have cell phones and/or PDAs (or have gotten new devices) that you wish to synchronize with the system, linking them to your system is another process that can add complexity to your move.

Occasionally, we find that our client has installed an operating system that is meant for home use and not professional use. Or they’ve gone for a smaller system that doesn’t have the memory that they need. We understand that they are less expensive, and can seem like a cost effective option. Unfortunately, home based systems are not set up for professional software. [NEED TECHNICAL STUFF HERE]

We try to be as accessible and available to our clients as we possibly can. However, if we are going to need several hours to get you up and running, we may not have it if you don’t plan ahead. It would be best if you, our client, or your IT person were to contact us as far ahead of time as possible, and let us know that you want to, or will be, upgrading your system/ software/ communications devices. Let us know when you expect the new system to be up and running (including the network) and we will be happy to schedule your project in such a way as to reduce downtime and transitional issues.
